REFUND & CANCELLATION POLICY

This Refund & Cancellation Policy applies to services, consulting engagements, digital growth services, website services, business advisory, business network memberships, payment links, and related offerings provided by Xpertera Ventures (“Xpertera”, “we”, “our”, or “us”).
By making a payment to Xpertera Ventures, you agree to this Refund & Cancellation Policy.
1. GENERAL POLICY
Payments made to Xpertera Ventures are generally considered final once work has started, consultation has been delivered, onboarding has begun, access has been granted, strategy work has been initiated, or resources have been allocated.
This applies to, but is not limited to:
- Consulting services
- Technology and AI advisory
- Fractional CTO advisory
- Architecture review and audits
- Website design and development
- Digital growth services
- Branding and graphics design
- SEO and marketing services
- Social media management
- Business advisory
- Paid strategy sessions
- Xpertera Business Network membership
- Expert or partner collaboration services
- Custom service packages
2. REFUND REVIEW WINDOW
Refund requests may be considered only if the request is raised within 7 days from the date of payment.
A refund request may be reviewed if:
- The service has not substantially started
- Access has not been used or consumed
- Work has not been delivered or significantly initiated
- There is a duplicate payment
- There is a billing error
- There is an exceptional circumstance accepted by Xpertera Ventures
Refund approval is not automatic. Each request will be reviewed on a case-by-case basis.
3. APPROVED REFUND AMOUNT
If a refund request is approved, Xpertera Ventures may issue a refund of up to 80% of the amount paid.
The remaining amount may be retained toward:
- Payment gateway charges
- Administrative processing
- Onboarding or setup work
- Initial consultation or review
- Strategy, planning, or assessment time
- Resource allocation
- Operational costs
4. NON-REFUNDABLE SITUATIONS
Refunds will generally not be provided in the following cases:
- Change of mind after payment
- Delay caused by missing client inputs or approvals
- Service work has already started
- Consultation has already been delivered
- Website, design, marketing, consulting, or advisory work has already been initiated
- Digital access, membership access, or network access has already been granted
- Membership benefits have already been used
- Cancellation request is raised after the refund review period
- Violation of service, membership, or community guidelines
- Dissatisfaction based on expectations not agreed in writing
- Third-party platform issues outside Xpertera’s control
- Promotional, discounted, or special offer purchases, unless otherwise stated in writing
5. CANCELLATION
Clients or members may request cancellation of future services, renewals, memberships, or continued engagement by writing to us.
Cancellation of future services does not automatically qualify for a refund of the current service, project amount, billing period, subscription period, or membership term.
If a service is cancelled by the client after work has started, Xpertera Ventures may retain the amount required to cover completed work, planning, onboarding, consultation, resource allocation, administrative costs, and payment gateway charges.
6. BUSINESS NETWORK MEMBERSHIP CANCELLATION
For Xpertera Business Network or similar memberships, cancellation does not guarantee a refund once access has been granted, onboarding has started, visibility has been enabled, communication has begun, or membership-related benefits have been used.
Membership fees are generally non-refundable after access or onboarding has been initiated.
7. REFUND PROCESSING TIMELINE
If a refund is approved, it will be processed to the original payment method within 7–14 business days, subject to payment gateway, banking, and third-party processing timelines.
Xpertera Ventures is not responsible for delays caused by banks, payment gateways, or third-party payment processors.
8. HOW TO REQUEST A REFUND REVIEW
To request a refund review, please email us with the following details:
- Full name
- Registered email address
- Phone number
- Payment date
- Transaction reference
- Service or membership purchased
- Reason for refund request
Incomplete refund requests may take longer to review.
9. FINAL DECISION
All refund and cancellation decisions will be made by Xpertera Ventures and shall be final, reasonable, and based on the facts of each case.
